Project Item Worksheet

The Project Item Worksheet lists all the items in the project and provides a quick way to add, edit, or delete item information.

  1. Under the Project, select the Item Worksheet quick link to complete the following tasks in a view that is similar to an Excel spreadsheet. Designers can use this view to update project item fields including the category, item ID, supplemental description, quantity and price. Double click on each field value to edit.



  2. To add a category to a project.
    1. Click the Project Item Worksheet component action button.
    2. Select "Add New Category...".

    3. On the Add New Category component, enter the category ID and description. Select the Combine Like Categories check box, so that all categories in the project will share the same section group in the proposal. Refer to the Project Summary Data Fields Table and the Category Data Fields Table for guidance on completing the required fields.
    4. Click <Save Category>. Items can now be added to the new category.


  3. To add a single item to a project.
    1. Click <New> at the top of the Project Item Worksheet. This adds a new row at the bottom of the worksheet and all fields in the new row are blank.


      OR

      You can insert a new item row anywhere in the worksheet by selecting the row below where you want to insert the item and clicking the <Insert Blank Row Above> icon in the row actions menu.


      OR

      You can also add an item by copying another item already in the list.
      1. Select the item row you want to copy.
      2. Expand the row actions menu.
      3. Click the <Copy Row> icon.

      4. Expand the row actions menu again.
      5. Click the <Paste Copied Row Below> icon.


    2. For all three options noted above, complete the appropriate fields. Refer to the Item Data Fields table and the Category Data Fields tables for guidance on how to complete the required data fields.
    3. Click <Save> to save the item.

  4. To add multiple items to a project.
    1. Click <Select Items…> at the bottom of the Project Item Worksheet.

    2. In the Select Items window:
      1. Enter the Category ID for all the items being added to the project.
      2. Either search for the items to add to the project OR click on Show first 10.
      3. Click the row for each item you want to add. This will place a green checkmark in front of the item(s) to be added to the project.
      4. The total number of selected items is shown on the upper right side of the screen.

        Info: Multiple searches with multiple selections can be made. The system will keep track of all selected items.




      5. Click <Add to Project> located at the bottom of the component when all items have been selected.


    3. The items will appear at the bottom of the Project Item Worksheet.


    4. For all three options noted above, complete the appropriate fields. Refer to the Item Data Fields table and the Category Data Fields tables for guidance on how to complete the required data fields.
    5. Click <Save>.

     

  5. To delete an item from a project.
    1. Select the item row you want to copy.
    2. Expand the row actions menu.
    3. Click the <Delete> icon (trashcan) to mark the item for deletion.
    4. Click <Save> to delete the item.

 

Info: Once the items are saved, they will be reordered by item ID and supplemental description within each category. Items are automatically renumbered when additions are made and saved.

 

Warnings:

After deleting one or more item(s) from a project associated to a proposal, the leading zeros for all proposal line numbers are removed (e.g. 0002 = 2, 0004 = 4, etc.). The developer, InfoTech, is aware of this issue but does not have a patch at this time. Here is the new workaround for AWP 4.2 until a patch is developed, if you find a project associated to a proposal that has invalid proposal line numbers. This FAQ replaces the Proposal line number issue when deleting an item from the project item list or item worksheet. The issue will be noticed when running the Estimate of Quantities report, Proposal Schedule of Items (SOI) report or when reviewing Proposal | Section and Items | Proposal Items.

  1. From the dashboard, select Proposal.
  2. Select the Sections and Items quick link.
  3. Select the Proposal Items tab – review the Proposal Line Number field for items with missing leading zeros.
  4. Select the Proposal quick link.
  5. Select the Projects tab and note the project(s) associated to the proposal and which project is the controlling project, if there are multiple projects.
  6. For each project, click the Row Action arrow followed by Remove. Repeat for each project.
  7. After all the project(s) have been removed, click <Select Projects>
  8. Search for project(s), select them and click <Add to Proposal>.
  9. Check the Controlling Project box.
  10. Click <Save> to save changes.
  11. Select the Sections and Items quick link
  12. Select the Proposal Items tab – review the Proposal Line Number field to ensure the proposal line numbers now reflect the leading zeros.
