ACM subcommittee guidelines

The ACM Pantry Committee shall consist of two subcommittees.

  • The Statewide Spreadsheets Subcommittee reviews all new and revised spreadsheets submitted for use in Pantry, verifies all calculations for accuracy, and approves for statewide and region use. Go to Statewide Spreadsheets for a list of available spreadsheets and committee members.
  • The Statewide Forms Subcommittee review all new and revised forms submitted for use in Pantry, approving them for statewide and region use. Go to Statewide Forms for a list of available forms and committee members.

Committee guidelines:

  • Each subcommittee shall have 4 to 8 members.
  • Each subcommittee shall have a chairperson to schedule and conduct meetings.
  • The Pantry Forms Subcommittee chairperson can be an Automated Construction Management User’s Group (ACMUG) member. Project engineers may also be members of this subcommittee. The chairperson for this committee is a construction oversight engineer from DTSD Bureau of Project Development and is appointed by the DTSD Bureau of Project Development Construction and Local Program Manager.
  • The Pantry Spreadsheet Subcommittee chairperson and members are project engineers. They are not required to be members of the ACMUG. The chairperson for this committee is a construction oversight engineer from DTSD Bureau of Project Development and is appointed by the DTSD Bureau of Project Development Construction and Local Program Manager.
  • If there is a form or spreadsheet that requires modification, it shall be determined by the subcommittee members. Requested modifications will be reviewed and voted upon by the committee. If they cannot determine if the change is warranted, they will discuss with the owner of the form. If there is a questionable form or spreadsheet, the subcommittee chairperson will bring it to the ACMUG for discussion and a final decision.
  • The Pantry Forms Committee and Pantry Spreadsheet subcommittees will meet during the winter of each year to test existing files, revise existing files, and create new files.
  • The Pantry Forms Committee and Pantry Spreadsheet Committee chairpersons shall have a summary of all approved statewide pantry updates submitted to region contract specialists by February 1, so these changes can be posted prior to the start of the construction season.
  • All region-specific and statewide form and folder changes shall be submitted to the AASHTOWare Project (AWP) Administrators to be posted on the AWPKB.

    Form and spreadsheet changes will be accepted by the AWP System Administrators the entire construction season as these changes can be posted under the AASHTOWare Project Knowledge Base (AWPKB) Pantry section as needed.
  • The AWP Administrator shall only accept new or revised files from the following:
    • Statewide files – A subcommittee chairperson
    • Region files – Region contract specialist or materials coordinator
  • Files will be saved to the following location and an email sent to the AWP Administrator explaining the file changes (e.g. file updates, new files, location the file should be posted in AWPKB Pantry, etc.)

  • The AWP Administrator will complete the following steps to post the changes to AASHTOWare Project Knowledge Base (AWPKB) Pantry:
    • Copy new and updated files to the AWPKB site.
    • Update the web page the file is posted on, as needed.
    • Update the Statewide Form Changes or Statewide Spreadsheet Changes web page to reflect any file updates.
    • Update the Construction Summary of Changes web page to reflect that the file has been updated. Include the reason for the update if provided by the committee chairperson or other representative.
    • Notify the committee chairperson or other representative that the AWPKB Pantry updates are complete.
