Actual Completion (Time Charges Stop Date)

Entering the Actual Completion (Time Charges Stop Date) to stop contract time

Requirements: This date is entered in AWP Construction under the main 00 site when the Project Engineer can stop assessing contract time charges on the project after concurrence with the Project Manager. The contract is now Substantially Complete under Standard Spec 105.11.2.1.3 and the following criteria is met:

  • The Project Manager and Project Engineer have completed a site walk through and compiled a Punch List.
  • All Contract Items and change order work is complete except for the Punch List or contract items associated with a plant establishment period.
  • All lanes of traffic are open on a finished surface.
  • All signing, marking and traffic control is in place.

Data entry

  1. From the Contract Administration Summary Component, select the Site Times tab.
  2. Select the Time ID hyperlink for the main site.
  3. Select the Units and Dates tab.
  4. Enter the Actual Completion (Time Charges Stop Date) by entering the correct date and time.
    The contractor has the entire day to complete work
  5. Click <Save>.
Examples:

System event email generated and sent to the Project Engineer, Contract Specialist and Project Manager with a slightly modified version sent to the Contractor and the Compliance Specialist(s).

The Actual Completion (Time Charges Stop Date) for Site 00 for Contract YYYYMMDD### - Contract Description, Project ID in the ?? region office has been entered as MM/DD/YYYY. There are 180 days to complete the finals and close out the contract by MM/DD/YYYY.

The contract is now Substantially Complete under Standard Spec 105.11.2.1.3. Please refer to the standard spec for timeframe for the contractor to complete the punch list process, if a punch list is required for this contract.

Punch List Complete Date - When the Punch List is complete, the Project Engineer MUST enter the Punch List Complete Date on the Contract Status Dates Agency View. If there is no Punch List for this contract, the Project Engineer MUST enter the Actual Completion (Time Charges Stop Date) from Site 00 in the Punch List Complete Date.

All Contract Work Complete Date - When contract work is complete under Standard Spec 105.11.2.1.4, the Project Engineer MUST enter the All Contract Work Complete Date on the Contract Status Dates Agency View too.

Warnings:
  • If any of the Completion Dates are entered incorrectly on the Contract Status Dates Agency View (Partial Acceptance, Punch List Complete or All Contract Work Completed dates), contact the Contract Specialist to correct the date entered. Date changes must be entered on the Contract Administration Informational Times tab that the Project Engineers do not have access too.
  • If the Actual Completion (Time Charges Stop Date) is entered incorrectly, the Project Engineer can update this on the Main Site 00 record. If this occurs, the Actual Completion (Time Charges Stop Date) message noted above will be resent to the assigned roles.
  • After any date changes are made, don't forget to "Refresh" the Contract Status Dates Agency View upon opening the component.
